Job Title: Administrative Assistant
Department: Education

Position Overview: The Administrative Assistant provides a wide range of administrative support to Washington Yu Ying Public Charter School. The primary responsibility of this position is to serve as the Head of School's assistant. The Administrative Assistant also provides assistance to the school's front office and the educational team.

Essential Responsibilities:
Provide administrative support to the Head of School. Duties may include:
- Manage the Head of School's calendar and schedule, such as scheduling meetings and appointments, coordinating meeting logistics, sending deadline reminders, etc.
- Draft memos, letters, and emails in response to routine questions.
- Research and prepare materials, such as reports, schedules, flyers, and lists, as directed by the Head of School.

- Complete and track reimbursement requests and business expenses for the Head of School.

Job Title: Library Intern
Terms of Internship: July - August 2012
Project Overview: The Library Intern will help start up Washington Yu Ying PCS' new library from scratch under the guidance of the library committee and other assigned supervisors. The Library Intern will collaborate with school staff and volunteers in cataloguing, shelving, and planning the logistics of book circulation.

Essential Responsibilities:
- Catalogue approximately 4000 titles using the Destiny system under the guidance of the library committee.
- Label and shelf books.
- Plan the logistics of book circulation.
- Organize and lead volunteers.
- Create Library Guide for students and staff at Yu Ying to refer to when finding resources in the library.
- Manage and accomplish other tasks assigned by the supervisor in a timely manner.

Expected Products: Specific work products will be developed in the summer and reflect a catalogue of easily accessible library resources.

Qualifications:
- Be pursuing or have completed a Masters of Science in Library Science (MLS) or related fields.
- Appreciation, experience, and understanding of Chinese culture. Fluency in Mandarin Chinese is preferred but not required. Yu Ying will provide Chinese language assistance for non-bilingual interns.
- Be able and willing to work independently.
- Have excellent communication and interpersonal skills, including ability to interact with people in a courteous, patient, and professional manner.

Position Summary: Responsible for accurate vendor account reconciliations and payments with accurate resolution of any invoice discrepancies.

Essential Duties and Responsibilities:

1. Receive and date stamp vendor invoices.
2. Enter supplier invoices in proprietary software program, matching brokerage expenses to corresponding work order.
3. Consult with vendors, suppliers and internal staff about invoice issues and obtain details of issues. Obtain and examine all relevant information to assess issues and to determine root causes.
